Project Coordinator Role Description

This is a full-time Project Coordinator role for the Install team at CraneWerks Inc. located in Morristown, IN. The Project Coordinator will be responsible for project setup and coordination, communication and collaboration, documentation, compliance, and safety, and financial tracking and closeout. The role involves working onsite in Morristown.

Qualifications of a Project Coordinator

  • Strong organization and attention to detail in a fast-paced, project-driven environment.
  • Effective written and verbal communication skills for working with internal teams, vendors, dealers, and customers.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Comfort working with job costing, POs, invoices, and related project tracking documentation.
  • Proficient with Microsoft Office.
  • Basic understanding of safety requirements and documentation for industrial job sites. (Preferred)

Company Description

CraneWerks Inc. is a manufacturer of overhead material handling equipment including top running, under-hung free standing, semi-free standing & ceiling supported runway systems, bridge cranes, monorail systems & hoists. Our services include engineering, designing, fabrication, assembling & installation & testing. We also provide turnkey services. Our electric bridge cranes meet CMAA class C standards and our runway systems are designed to AISC specifications. CraneWerks components meet CMAA, HMI, NEC, ANSI & OSHA requirements.


As our Project Coordinator for the Install team, you will handle:


Project Setup & Coordination

  • Create and maintain jobs, purchase orders (POs), and sales orders for vendors and dealers in accordance with project requirements.
  • Assist with scheduling, setup, and cancellation of lift equipment for installation projects.
  • Verify receipt of required progressive payments prior to installation start dates.
  • Order, track, and confirm delivery of materials to align with installation schedules.
  • Receive and inspect ordered materials upon arrival to verify accuracy, condition, and completeness prior to shipment to job sites.

Communication & Collaboration

  • Meet regularly with the Installation Manager and Project Managers to review project status and assist in advancing projects to completion.
  • Serve as a liaison between customers, dealers, Sales, Operations, and Installation teams to obtain outstanding information prior to installation.
  • Communicate clearly with internal and external stakeholders regarding schedules, documentation, and project needs.

Documentation, Compliance & Safety

  • Prepare, send, and track all pre-installation paperwork required by CraneWerks and end users.
  • Confirm all safety documentation, permits, and job-site forms are completed prior to mobilization.
  • Assist in ensuring installation crew members maintain current physicals, certifications, and required safety training.
  • Compile complete installation packets, including drawings, permits, safety forms, and job details, for Project Managers and the Installation Manager.

Financial Tracking & Closeout

  • Log receipts and expenses for installation jobs to support accurate job costing and financial reporting.
  • Ensure invoices are received, matched to jobs, and submitted to Accounts Payable in a timely manner.
  • Send post-job paperwork and closeout documentation to dealers promptly after project completion.
